When you’re in a work meeting where you and your colleagues are sharing ideas or planning projects, good visuals are an invaluable tool.

Explain Everything Whiteboard is perfect for graphic recording – the method of using visuals to reflect what’s discussed in real time – and functions as a virtual whiteboard, helping everyone to be on the same page.

The app’s features are broad, and include hand-drawn illustrations, text and real-time sharing. Using an iPad and Apple Pencil, you can write down or draw ideas as the meeting progresses and the whiteboard is synced in real time across all your teammates’ devices, so even those working remotely can participate seamlessly.

Here are a few basics to get familiar with when using the app.

Share notes with participants

To begin, set up the whiteboard before the meeting and invite participants. They’ll be able to write or draw in the notebook themselves, using the many tools available in the app, including bold and fine pens of different colours, erasers and clip art.

Lay out ideas

Knowing how to take notes effectively, based on the purpose of the discussion, can help keep the meeting organised and efficient. For example, when brainstorming, it can be a good idea to write a heading in the centre and jot down key words around it, adding illustrations where necessary.

Select the hand icon in the toolbar to drag text or images around. When you have lots of key words and ideas on the page, you can also use the drag tool to organise them into lists or categories.

Show the flow of the discussion

It can also be helpful to keep track of the decision-making process. Record the opinions exchanged, who suggested them and the reasons for the final choices. This way, the conclusion will make sense when reviewed later on.

If you want to visually represent individual speakers or two sides of an argument, try clip art, which can be conveniently pasted into the notes quickly.

Share your vision

Perhaps your project is at the stage where you’re thinking about how to present the information to others. Your team can work on your presentation, portfolio or lookbook in Explain Everything Whiteboard together as well.

Team members can leave comments directly on the page and illustrate their points with sketches where necessary. Any changes, such as moving items around the page or changing the order of slides, can also be made right then and there.

Record and share with your team

Explain Everything Whiteboard also allows you to record the entire meeting from start to finish, with audio included. This is useful for reviewing what happened in the meeting, or sharing with members who weren’t able to attend.
