Kanbana: Organize Everything 4+

A very nice flexible working tool. The possibility to work offline and to sync with the new iPhone app and work on a desktop through a browser is very valuable. Also the simple interface follows the concept of kanban, opting for simplicity, with the right choice of dark background and fonts which make it a pleasure to use. The developer might choose in the future to add some features, such as reminders but the app as it is perfect for people like me who do not use it for collaboration.

I have been using Kanbana for years and I can’t imagine any part of my day when I don’t cross-reference it to know my next schedule. It really helped streamline my life. I love the visual cues that helps keep everything unique; the “drag & drop” function helps keeping it interactive, moreover the design is quite simple and doesn’t require a lot of time to familiarize yourself with. Finally, the support team is quite responsive and engaging. I will continue using Kanbana for as long as I can.

I understand that the kanban idea is quite an old one, but it’s new for me, at least as a personal action/to-do manager. With traditional list-based systems such as OmniFocus or Things, I find I have to be really on the ball and full of energy to be able to face moving items around into projects and setting contexts. Kanbana, by contrast, is visual by nature: You have columns headed Todo in the Future, Todo this week, Todo today, Doing right now, and Completed, in which you can see little “stickies” representing each task. You create the stickies just by tapping and holding. Importantly, you can give each sticky a color of your choice.

There isn’t really much else to explain. You just tap and hold in the appropriate column to create an item, type in the text, and choose a color. Then, when you finish an item or if its status changes in some way, you just drag it to another column or delete it. At any time during the day, a quick glance at Kanbana can give you a clear picture of how work is progressing.

If you have lots of complex and long-term projects, I can still see a case for having a heavy-duty program like OmniFocus or OmniPlan. But I would avoid putting every small step or action in there. Reserve the heavy-duty program for the project itself and the major components of it, and farm out the day-to-day small tasks to Kanbana.
