Helps us focus on therapy
IvyPay has been a great way for us to collect credit card and HSA payments quickly and easily. Our patients like keeping control of their own information. We like the relative ease of use. The weekly reports (emailed as an Excel file) contain a lot of helpful information for tracking payments.
I gave it 4 stars because more training options would be helpful. Both for us to use the app and to see what our patients experience so we can answer their questions. But the staff has been very responsive and helpful to our support requests so we are getting the information as we go. Here are some things we have learned:
*You must run the app on a phone or tablet; using a computer is not an option.
*It appears to be designed for use by therapists working alone. We use it in a clinic setting, but the confirmation texts go to our primary clinician (not the office manager). And there is no way to input which therapist is being paid (You can manually calculate that from info in the weekly report.)
*Patients must provide a cell phone number. Ivy communication occurs via text message.
*Messages — at least the initial invite — do not include our practice name, just Ivy. Patients may ignore it if not forewarned.
*Card info is recorded on a website...if that is a concern for you or your patients.
*If patients do business with more than one Ivy therapist, they have to set up a separate account with each one.
This may look like a lot, but overall we are quite happy!
Focus on Clients not on collecting fees
I have been using Ivy Pay for almost 2 years. When I opened my private practice, Hope Filled Counseling, I did an exhaustive search to find business operations that fit my clients’ needs, streamlined my business practices, and made it possible for us to focus on the session at hand rather than how their fees would be collected. I love that Ivy Pay does their due diligence of ensuring therapist have all of the protective factors in place to serve a client professionally and with excellence in their business practices. It empowers the client to be able to add their own information into the system and the privacy protections have slowed flawlessly since the very first client put their card on file for me. I love that the ivy pay app is therapeutic in and of itself, for example, when a client puts their information on file, it reminds them to pause and take some deep breaths… Such a special therapeutic touch. Anytime I have ever reached out to the Ivy Pay staff, they have assisted me professionally and efficiently. I highly recommend them to anyone who is in private practice.
This is an excellent tool for any solo clinician. Clients have been receptive to the ease of adding their card on file, and like the text message alerts for payments. The 2.7% flat fee for any charged card is very reasonable compared to other merchant services. The only issue about the fee was that it was not listed on the IVY Pay site, so I had to contact support.
Where IVY Pay falls short. You can not access your account on a traditional website or export invoices or notes. I across my fingers that changes sooner rather then later. If you input incorrect info for a client or session there is no way edit the error, such as listing a session time incorrectly. You also can not update a clients phone number.
IVY Pay has a lot of potential, possible integration with google calendar and drive (if the clinician has a BAA Agreement with G Suite). This option could allow for some automatic billing options. Integration with QuickBooks would be beneficial for small businesses as well.
IVY Pay is ahead of the curve in the mental health field. With additional features and automatic billing options, will be the X factor in the company’s future growth.
