OmniFocus 4

This incredibly flexible task and project manager is easy to pick up but powerful enough for productivity pros and complex projects. You can work with items by project, date, flags, tags, or even location; the app’s Perspectives feature lets you create custom views based on any combination of criteria; and every view is customizable to match the way you work.
OmniFocus 4 takes an already powerful system and makes it feel much more modern and fluid. The ability to quickly capture tasks and then organize them into deep project hierarchies is unmatched. I love the Forecast view for keeping my day on track without getting overwhelmed by the big picture. It’s a serious tool for people who have a lot of moving parts to manage.
With support of Apple AI and overall sync improved a lot for an European part - much appreciatedAnd overall I’ve been using Omnifocus for almost a decade and appreciate a lot option of having buying software as in old good days, instead of only subscription model
My day is much smoother and less complicated using OF4. Once I organized my daily routines for work and personal everything was much easier. I added tags (field, desk, email / calls). This improved daily plans focus. The forecast section makes the future plans easier
I’ve been testing OmniFocus 4 over the past week to organize both my work tasks and a few ongoing personal projects. What I appreciate most is how flexible the system is. Being able to combine projects with tags makes it easy to organize tasks in a way that actually matches how I think. I’ve been using tags for context (like “calls” or “at desk”), and it’s surprisingly helpful when deciding what to work on next. The Forecast view is another highlight. It gives a clear picture of what’s coming up without feeling overwhelming, which has made planning my day a lot smoother.
Long time Omnifocus user here. Recently, they changed the bottom navigation bar to a dynamic one, making it hard to jump between Inbox, Review, and Forecast because they are not always in view for instant switching. What used to take one muscle memory tap now requires either H-scrolling to find the right view, or tapping "quick open" first. This is counterintuitive and adds unnecessary friction.
Developer ResponseThanks for taking the time to share your feedback about OmniFocus! In OmniFocus 4.9, we introduced a new Appearance Setting to disable this behavior (Show Perspectives Bar > Always). The intention of the original behavior was to preserve vertical screen space when possible, but we've since learned that some folks prefer a static Perspectives Bar. If this new setting doesn't address your feedback, please let us know!
It is sad to see an app that gets worse over time not better. I have used the previous versions. The latest is the worst ever. The way the screen scrolls automatically is horrible. Often I click on something and either nothing happens or a different action is marked complete. Using notes is an exercise in frustration. Copy and paste is nearly impossible. I wish I could go back to an earlier version. Looking for a replacement.
Developer ResponseWe are so sorry to hear that you're hitting these issues in OmniFocus! We have been actively working to improve outline stability in OmniFocus, and the behavior you're describing sounds unusual. We understand that you're looking at alternative applications, but any information you were willing to email in about the behavior you're encountering would be incredibly useful to our dev team (a screen recording would be particularly useful). The best way to send bug report information in is by emailing our support team at omnifocus@omnigroup.com. Thanks!
I have used and updated OmniFocus for many years and it works fine for the most part but there are still a lot of bugs that make the experience not so great. The app freezes frequently on my phone forcing a restart. When I want to enter a note, the note field is hidden behind the keyboard area on the bottom of the screen and I have to scroll the screen up to begin typing. I’m still not happy with a lot of the menu options. TaskPaper? Who still uses that? I don’t, but there it is as a prominent menu item. The pop up menu under Schedule only gives options for today or tomorrow. Why not have a way to pick any date I want?
Developer ResponseThanks for taking the time to share your feedback! It sounds like you're encountering a number of issues which are currently on our development team's radar, with the exception of the frequent hang you're reporting on iPhone. If you happen to notice a specific action or workflow that triggers this issue, that information could be very helpful in getting this issue tracked down and resolved! The best way to provide our team with this additional detail is by omnifocus@omnigroup.com.
In v4 many of the features I use from v3 are difficult to find, Clicks in the User Interface do not do what I want them to do; less intuitive; navigation is frustrating. I'm going back to v3 til navigation and functionality have matured in v4. (Update May 2026) - I dropped v4 and went back to v3. If v4 does not get updated with the feature sets from v3 that all worked well - I will altogether drop omnifocus, and start looking for another app. No way I will consider paying money for anything v5 when the money I paid for v4 has already been wasted.
It’s genuinely baffling how bad the UX is in this app. I absolutely loved using Omnifocus 3 but O4 has just gotten worse and worse as time has gone on. Nothing in the app feels good to use, with janky animations. I keep trying to come back because I love the flexibility but this app puts me off immediately. A few examples (I could write a whole book): Spacing between items in lists are not good or consistent. This makes swiping to delete or flag feel like I have to guess where to pull from.Second, the “swiping” animation feels tacked on and jittery. Like it doesn’t slide over naturally it kind of just appears. It’s also WAY too thin. Try doing a quick swipe on an item. It’ll probably look really messy or just not work. Third, what in the world is the bottom bar navigation. A double stacked bar where the bottom bar scrolls? The delay between presses…
Developer ResponseThanks for taking the time to share your feedback about OmniFocus 4 - we're sorry to hear that it has not met your expectations! Your review has been attached to the appropriate items in our development database. If you'd like to email in screenshots which illustrate these issues (such as the inconsistent spacing you note in the outline), that is always appreciated!
It has the planning hierarchies and matrices you’ve come to expect from Omni, but the programming is clunky and lacks sufficient UX direction. For example, adding a task/action flows downward, which makes sense for cascading lists that toggle. The experience gets confused when adding sub-tasks. It flows downward to start, but if your cursor was previously on the dominant task, each new sub task will push any previously created sub-tasks down in the queue, which will force you to reorganize everything manually if you were expecting a standard hierarchical list. If your cursor was on the previously created sub-task, the next created sub-task will be placed above the previous sub-task. When you finish engaging with the sub-task and move on, your list of subtasks often get re-arranged seemingly randomly. Another problem is the varying representation of folders. I embrace the enjoyment of customization, but not at the expense of function. Nesting folders holds an importance when dealing with tiered, multi-variable projects. Leaving folders out of views leaves the pathway inarticulate, which muddies a user pathway, especially when sufficient complexity is achieved. This application has the information visualization components in place, but without effective user interaction to help impart the value of using it, there isn’t much function—despite the potential value of the depth it could provide.
