Robust mobile app functionality. It’s scalable enough for 1 or 2 users. Even though it has a wide amount of spreadsheet formulas/functions and endless customizable options for office/business uses that are way over my head…. It is easy to use and learn. I have to deal with excel files routinely, which to a blue collar gear head, excel is clunky and too difficult to be good at basic level proficiency. With this app, I can convert an excel file someone sent me, and convert it into Smartsheet to make it easier to work with and operate with a right brain only person. And more importantly, I can whip up a killer info packed sheet, and convert it to an excel file so a left brained can use it seamlessly. Just wish there were a few integrations a person could buy à la carte, rather then upgrading to the higher end subscriptions. Still… it’s worth it’s cost.

I like and rely on SS for our teamwork. The online (computer) version is very good, and my team has had it for a few years, and we are used to it. But there’s been very little serious innovation here, almost no interface improvements, other than a few unnecessarily complicated, pointlessly confusing “redesigns” of the browser version along the way. The iOS app continues to be one of the chunkiest apps on this very high end of the price range, pretty much obliterating what’s good about the browser version (there’s a reason why the App Store uses mockups and not screenshots: screenshots don’t look that good; if the app had the feel and clean design of the mockups pictured here, I’d love it...). We’re paying 4 figures for it, annually, and on the desktop it’s worth it, but as we are now in different locations and rely more on quick-checks or fast checkbox/drop-down edits on our iOS devices of various sizes, the shortcomings of the unwieldy iOS app grow increasingly frustrating. To make things worse, even now with iOS 13, you can’t use the full web version on Safari running on a 12in iPad Pro (it forces you to use the clunky app, or offers limited mobile version website; no access to full online version even on this enormous iPad screen... bummer). We’ve had quite an investment here, in terms of software skills, complex workflows with integrations, and Gantt projects, but I’m afraid we’re very seriously looking at Airtable at this point...

SmartSheet is definitely robust and flexible. I love the ability to do more than just task management, or group interactions. Because it is cell based you can literally do anything you could in excel, but more. So that means this is a powerful multi-platform solution. Linking cells with live updates from one sheet to another. Budgets. Business and sales projections. Schedules. It truly is a project management system that is intuitive...not like other apps that have their own system layout that seems to make no sense. I REALLY wish they would update a few things like being able to create filters that are accessible and applicable across any sheet you want to apply them. Makes ZERO sense they haven’t implemented that yet. Same with conditional formatting. Great tool. But you have to recreate each conditional format you want in each sheet...unless you make that sheet a template and then create new sheets off the template. But then if you think of a new conditional format you’d like to implement you have to recreate it 10 times (or however many sheets you have). Just very frustrating. Also, Smartsheets doesn’t seem to handle times of day very well. Ugh. But there are ways around. So overall I think it’s great. But needs continued feature updates.

Buyer Beware - *Sharing* with Others is Limited Without Additional Licenses

I am a small business owner, and I have to be diligent with our resources. When looking for a project management software, I did my due diligence. I trialed three different project management software, in addition to Google sheets and Microsoft Excel. I read all the Support files regarding the features I was looking for. I tested the features that I needed. At the end of my Smartsheets trial, I was presented with options to select a plan if I wanted to continue to use the software; I selected the pro plan. $25 a month for one user was perfect, as we only have one project manager on the team… Me. Moving forward with my licensed software, I attempted to share out the information to my team and our subcontractors outside of our core team. That’s when I discovered that one of the sharing features I needed, and tested successfully, was not included in my plan (published calendars). Although this share feature was not named specifically, I was led to believe that everyone who i needed to *share* information with would have the information accessible to them. Creating files and advanced , collaborative project management features would be available at higher licensing levels. At this point, I was told I would need to purchase a minimum of three licenses before this share feature would be available to me, tripling my costs. Even logically, this just does not make logical sense to me as a customer. There is only one project manager; why do I need three licenses?? From my POV, this licensing logic reveals some dysfunction on the business side of Smartsheets as a company and a disconnect with their consumer. I’ve since switched over to Airtable, and have all the same features i had evaluated and need, at the right price point.
