Session Flow is the calendar for anyone who works by appointment and wants to know, without mental math, who has paid and what's left to collect. It works for therapists and counselors, dietitians, physical therapists, private tutors, personal trainers, hair stylists, nail techs and anyone paid per visit.
Add a client once, with the day, the time and the fee, and your schedule fills itself in. Every session shows its fee and whether it's been paid.
Your schedule fills itself in
• Weekly, every other week, monthly or your own repeat, with a set number of sessions if you need one.
• Mark holidays and your time off, and the app cancels those sessions; change your mind and they come back. A client who travels gets a pause of their own.
• No-shows, cancellations and rescheduling in one tap, with no math to redo.
• Day, week and month views, with a warning when two times overlap.
• Already use your phone's calendar? The app reads your appointments and sets up each client with you, one by one. Nothing in your calendar changes.
Payments in one place
• One tap on Mark as paid and the session is paid.
• Per session or per month, a flat fee or the sum of the sessions: each client on their own terms.
• A rate increase applies from its date on, and older open sessions keep the old rate.
• Outstanding: the total and client by client, always up to date.
• Prepayments become a balance, and each session draws from it (Premium).
Reminders and payment messages on WhatsApp
• The session reminder, with the day and time, is ready to send, and the day's list shows who still needs one.
• The payment message is ready too, with the date of each open session and the total (Premium). You check it and send it.
• Charge one by one: each client's payment message, one after the other (Premium).
• Notifications on your phone before each session.
Receipts and documents
• Receipts, attendance letters and a superbill template, as PDFs with your details and your client's.
• Ready-made templates, and your own.
• A spreadsheet of payments received, for your accountant.
Your month in numbers
• Received, forecast and what's left, month by month.
• Average ticket, % canceled and the month's chart (Essential and Premium).
