WHAT'S NEW IN THIS VERSION — 4.9 Files and photos on your notes, and four languages finished properly. PHOTOS AND FILES ON A NOTE A note could only ever hold a scanned page. Notepad → ⋯ now adds a photo from your library or any file — a PDF, a spreadsheet, a text file — with its name under the thumbnail and a paperclip on the note in the list. Tap one to open it, and when you turn the note into a task the files go with it. FULLY TRANSLATED, AT LAST French, German, Spanish and Japanese were only partly translated, so most of the app fell back to English. All four are now complete — every screen, every menu, every alert. Plurals and genders are handled per language rather than borrowed from English, so counts and labels read the way they should. CHOOSE YOUR LANGUAGE IN THE APP Settings → Language lists every language WorkFlow ships, each in its own name, plus System Default. It sets the same preference as iOS's own per-app language screen, so the two agree instead of fighting. Takes effect the next time you open the app. TELL US SOMETHING PRIVATELY Settings → About → Send Feedback opens a message to us with your version and device already filled in — no task names, no project names, nothing from your data. If there's something wrong, we would much rather hear it than read it. THE KEYBOARD GOES AWAY NOW Replying to a comment used to leave the keyboard up with no obvious way to dismiss it. Sending a reply now puts it away, and while you are typing there is a button in the compose row to close it without sending. WHAT'S NEW IN THIS VERSION — 4.8 One notification a day instead of twenty, and a faster app underneath. YOUR DAY IN ONE NOTIFICATION Settings → Notifications → Daily Agenda. Pick a time and WorkFlow sends a single summary — "3 overdue · 2 due today" — with the oldest thing still waiting. Tap it and you land on the Reminders section. One digest rather than a separate alert per task, and nothing at all on a day with nothing overdue and nothing due. Off until you turn it on. QUICKER, EVERYWHERE A pass over how the app draws its lists. The task board used to filter and sort your whole library once for every column instead of once in total; every card re-read the same tags, projects and comment data over and over; and the tab bar recounted every conversation in the app each time anything on screen changed. All of it happens once now. Long lists scroll better and moving between views is quicker, most noticeably on iPad. THE BOARD LINES UP The last column on the board sat slightly off to one side, showing a sliver of the column before it. Every column now lines up the same way. WHAT'S NEW IN THIS VERSION — 4.7 Keep the lines that mattered out of a long thread, and a Dashboard section that finally works like reminders. HIGHLIGHT WHAT MATTERS IN A COMMENT Long press a comment and choose Highlight, then tap the sentences worth keeping. They stay marked in the thread and collect in a Highlights panel at the top of the task — so a forty-comment conversation can be read back as the five lines that counted. The decision you had to scroll for is now the first thing you see. A PROPER REMINDERS SECTION The Dashboard's date list has been rebuilt. Each group carries its own colour, tap a row's circle to complete it there and then, and tap the bell to set the actual alert — which that screen never let you do before. New Scheduled group for everything carrying an alert, with the time it will go off. And Anytime is now No Date, meaning tasks with no due date rather than every task you own. MAKE THE CARDS YOURS A new Metadata Colour setting tints the quiet second line of every card — project, dates, assignee — by accent, by priority, or by project, so a mixed list reads at a glance. Five new borders join it: Priority Bar, Underline, Corner Marks, Double Rule and Gradient Edge. Overdue and due-today keep their red and blue whatever you choose: those are signals, not decoration. A CARD STYLE FOR WHAT HAS GONE STALE Age Focus leads with how long a task has been open rather than when it is due — green under a fortnight, orange under six weeks, red beyond. The fastest way to find what has been quietly sitting in a list since spring. SET UP AN AI ASSISTANT Projects → Start from a Template now opens on AI & Automation, with a project that walks the whole thing end to end: connecting the assistant, agreeing what it may and may not do, handing over a first task, and reviewing what it actually did. WHAT'S NEW IN THIS VERSION — 4.6 Tasks that aren't deadlines, and a task that tells you how long it has been waiting. NOT EVERYTHING IS A DEADLINE A task can now have no due date at all. Turn Due Date off in the task, or tap Due… → No Due Date on its menu, and it stops counting as overdue, leaves the calendar, and sorts to the end of a date-ordered list. Checklists, reading lists, reference notes and someday ideas no longer turn red just for still being there. Switch a date back on and the one you had comes back. SEE WHEN A TASK WAS RAISED Every card now shows the day it was created and how long it has been open — "9 Sep · 4d" — and the task itself spells it out beside Task Details. It is the fastest way to spot what has been quietly sitting in a list for a month. Settings → Task Card Style turns the card stamp off if you'd rather not see it. THE OVERDUE COUNT TELLS THE TRUTH Minimized and archived tasks were still counted in the Overdue and Due Today badges, so the number could point at tasks that appear in no list — nothing to open, nothing to clear. WHAT'S NEW IN THIS VERSION — 4.5 Scan a document straight into a note, tables in the Notepad, and attachments you can finally save out. SCAN A DOCUMENT INTO A NOTE Notepad → ⋯ → Scan Document. Photograph a page and it lands on the note twice over: the page itself, and its text read into the note — so you can search it, edit it, and hand it to your assistant on the Mac. TABLES IN NOTES Notepad → ⋯ → Insert Table. Choose the columns and rows, name the headings, then fill it in. It stays plain text underneath, so it survives search and conversion intact. SAVE AN ATTACHMENT ANYWHERE Attachments finally have a Save action, in the ⋯ menu of every viewer and on the file's own menu. Pick a folder in Files and it saves there, under the name you gave it. Until now the only way out of WorkFlow was buried in the share sheet. WEB PAGES OPEN AS PAGES An .html attachment now renders as the page it is, instead of the blank sheet it used to show. View Source is in the ⋯ menu if you want the markup underneath. SHARE WORKS ON ATTACHMENTS AGAIN Share from an attachment's long-press menu did nothing at all. It now opens the share sheet properly — from the file's row, from the Documents list, and from inside every document viewer. BIG TEXT FILES NO LONGER COME UP EMPTY A very large .csv, .json or log used to open on a blank sheet. It now opens on as much as it can show, and tells you how much more there is. WHAT'S NEW IN THIS VERSION — 4.4.1 The Inbox, fixed where you told us it was broken. IT HOLDS STILL WHILE YOU READ IT Opening a conversation still marks it read, but the row now stays where it is until you close it. It no longer drops out of Unread and slides the list around while you are reading. A MENU ON EVERY CONVERSATION Long press a conversation for Mark Read, Reply, Open Task, Complete, a due date, Add to My Day, Copy Last Reply and Select. Swipe still works, and now follows your Swipe actions setting. REPLY WITHOUT LEAVING THE INBOX An open conversation has a reply box at the foot of it, mentions and all, so answering no longer means opening the whole task. SELECT WORKS HERE NOW Tap Select and pick several conversations, then use the bar at the bottom — including Mark Read and Mark Unread under More. THE INBOX WORKS LIKE AN INBOX Swipe a conversation to mark it read, swipe back to make it unread, or swipe the other way to open the task. Tap one and it opens in place — where the task stands, how much of its checklist is done, the last few replies — without leaving the Inbox. Mark All Read sits in the header. READ ON ONE DEVICE, READ ON ALL What you've read now follows you through iCloud, so reading a thread on your Mac clears its badge here. That's why some conversations used to look stuck as unread. ASK CLAUDE FROM YOUR PHONE Tap ⋯ → Ask Claude, type what you want done, send. It becomes a task the assistant on your Mac picks up, and the reply comes back as a notification here. Sharing an email or a link now has an "Ask Claude" switch too. SEE WHETHER THE MAC IS LISTENING Settings → Agent Bridge shows whether your Mac is listening and when it last reported in. Tasks you hand over wear a small label: Waiting for the Mac, Queued, or Claude is on it. SHARE AN EMAIL, GET A REAL TASK Share a message from Mail and the task is built from the email itself: the subject becomes the title; the note keeps who sent it, when, a preview, and a link that reopens the message — now a tappable Open in Mail button. TEXT AND MARKDOWN FILES OPEN Attachments like .md, .txt, .csv and .json now open in a proper reader instead of the blank preview they used to show. ASSISTANT ACTIVITY REPORT Settings → Agent Bridge → Export Assistant Activity gives you a document of everything the assistant did in the last seven days, task by task, with timestamps. EVERY DOCUMENT OPENS Attachments that aren't a photo or a PDF — an HTML report, a text file, a spreadsheet export — used to show in the list and then refuse to open. They now open in a Quick Look preview, with rename and share in the same place as for PDFs. Documents added on a Mac open here too. INBOX CLEARS ITSELF Completing a task marks its conversation read, and a finished task no longer sits in the Inbox as unread. WorkFlow 4.3 INBOX Every task with a conversation, newest reply first, unread on top, so when a reply arrives you know exactly where to look. Tasks with something new to read carry a badge on the board, and the Inbox tab counts them. Opening the thread is what clears it. Inbox starts in the ⋯ menu; Settings > Tab Bar promotes it, and it can be the view the app opens on. Also: a rare crash on launch fixed, and improvements for WorkFlow on the Mac. WorkFlow 4.2.1 TELL US HOW IT'S GOING WorkFlow will now occasionally ask for a rating — only once things are going well, after a good run of finished tasks, and never more than a few times a year. WorkFlow 4.2 Small taps that save you a swipe, and a comment bug worth fixing. TAP THE TAB AGAIN Tapping the tab you're already on now does something. On Board it slides to the next column and round again — much easier than swiping across when your rows have swipe actions of their own. On every other tab it jumps straight back to the top. OPENS WHERE YOU WANT Settings > Tab Bar > Opens On chooses what greets you at launch: whichever view you had last, or a particular one every time. It also settles a quiet annoyance — the app always opened on the Board even if you'd hidden Board from your tab bar, leaving you on a screen with no tab lit. COMMENTS STOP GOING MISSING Commenting on the same task from two devices at once could quietly lose one of them. A task's comments travel as a single block, so whichever device saved last overwrote the other's — no error, no warning, just a comment that was never there. WorkFlow now merges both sides instead of letting one win, and puts back anything an earlier sync had dropped. TASKS FROM SIRI NOW SYNC A task added through Siri or a Shortcut was written in a way that never reached iCloud. It sat on that one device until you next opened the app, and until then your other devices knew nothing about it. Shortcuts now write through the same path as the app, so a task you dictate turns up everywhere straight away. IF YOU ALSO USE WORKFLOW ON A MAC The Mac version can now let an assistant you run yourself pick up work you leave for it. Assign a task to "Claude" from here, or jot a note, and the answer comes back in that task's own comments — with a notification on this device when it does. Settings > Agent Bridge turns those notifications off if you'd rather check in your own time. Nothing happens unless you switch it on over on the Mac. ALSO Project packs can now travel as .workflowpack files, so a set of projects can be sent by email or saved to Files instead of squeezed into a link. See what moved in a checklist, at a glance. SUBTASKS THAT SHOW THEIR AGE Every subtask added or changed in the last seven days now carries a coloured mark and a short caption saying what happened and when — green "Added 3 hr ago" for something new, orange "Due date · 5 min ago" for something you amended. Come back to a long checklist after a few days away and you can see where you left off without opening a thing. Tap the caption for the exact dates, and tap again to hide them. Settings > Subtasks turns the colours off if you'd rather keep the list plain. Subtasks you created before this update have no history to show, so they stay unmarked until the next time you change one. RECENTLY EDITED, ACTUALLY RECENT My Work's "Recently Edited by You" list could sit frozen on an old handful of tasks and never pick up anything new. It was only noticing edits made inside a shared project, so everything you changed in your own tasks went unrecorded. It now tracks every task you edit. WorkFlow 4.0.1 • The bar at the top of the screen is now yours to arrange: Settings → Header lets you choose which buttons appear, what order they sit in, and which side they're on — with Minimal, Balanced and Power presets to start from, and outline, filled or rounded icon sets • Priority now has its own section in the task editor, instead of sharing the Status heading • Better behaviour at larger text sizes: the buttons and counters along the top of the Board keep their shape instead of stretching, and task pills no longer split words across two lines • Overdue and due-today counters no longer split across two lines once you have a lot of tasks, and the board's view button keeps its full name • Fixes a problem where some task shortcuts kept working after a free trial had ended. WorkFlow 4.0 — the Notepad: write it down now, decide what it is later. • New Notepad: a place to dump a job the moment you think of it — no due date, no project, no priority to fill in first • Convert any note into a task, or into a whole project, when you're ready • Write your note as a list and each line becomes a task (or a subtask) — ticked for you automatically • Anything you don't tick stays behind as the project's notes, so nothing gets lost • Notes keep their formatting, sync across your devices, and can be pinned and coloured • A gentle review: WorkFlow counts notes you haven't touched in a fortnight and offers to help you clear them — convert, keep, archive or delete. Set the timing in Settings, or switch it off • Notes turn up in search alongside your tasks • Bulleted lists now continue on their own — press Return for the next bullet, twice to finish the list.
