Doxagon digitilizes your documents, allowing you to access them whenever and wherever you want. Thanks to its flexible structure, it creates ease of use by adapting to your organization's needs and working style. Documents are categorized by folders defined in the application. Folder and document authorizations are managed with permissions. Documents are uploaded to the system as single/multiple or scanned. The changes you make on the document are followed by the versions. It accelerates access to documents with its advanced OCR (Optical Character Definition) feature and detailed search function. With the transfer feature, documents are shared securely with users inside and outside the system. Every process made through the application can be tracked. Mandatory Document Upload Check The checklist infrastructure has been developed, and a label-based mandatory document upload mechanism has been added to the system. When creating a checklist, the “Mandatory” parameter can be defined for each label. The process cannot be completed without uploading the documents associated with the labels marked as mandatory. If the user fails to upload the document associated with the relevant tag during the document upload process via the link, the system will alert them and block the “Complete” step. The process cannot proceed even if other documents are uploaded before the mandatory documents are completed. This structure minimizes operational risks caused by missing documents. Color/Black and White Document Upload Control Documents uploaded using smart OCR services will be automatically detected as either color or black and white. When the “Color” parameter defined in the control list on a tag basis is active, the system will check the color status of the uploaded document. For multi-page documents, at least one page being color is sufficient for the document to be considered color. If a document that must be uploaded in color is uploaded in black and white, the user will be notified. Color document control will not be mandatory on its own; the mandatory status will be determined separately by the “Mandatory” parameter. Validity Period Check for E-Government Documents For documents obtained through E-Government, the “Document Date” information on the document will be detected using Smart OCR technology and added to the tag properties field. Using the checklist, “Validity period XX days/months remaining” parameters can be defined on a tag basis. During document upload, the upload date will be compared with the document date, and users will be warned for documents outside the specified time range. In accordance with the defined rules, the upload of non-compliant documents will be blocked. E-Government Document Verification Integration Documents obtained through E-Government will be automatically verified during upload via E-Government document verification services. Verification results will be displayed on the document details screen and can be output collectively via reports. This will systematically confirm the accuracy of documents and reduce the need for manual checks. Folder Categories and Advanced Filtering A “Folder Category” field will be added to folder management. Users will be able to categorize folders using free text and perform quick filtering on folder detail screens using general search based on these categories. Folder categories can be assigned during manual folder creation or via bulk user transfer files. This structure will enable folders to be grouped according to business processes and provide quick access. Folder ID and Document–Folder Matching Checks The system will automatically generate a Folder ID for each folder. The Folder ID information will be displayed in the folder details. During bulk user import, the directory under which user-specific folders will be opened can be controlled via this ID. The Name, Surname, and TCKimlikNo information extracted from documents uploaded to the folder using Smart OCR will be compared with the folder name to check document-folder compatibility. Compatible and incompatible documents can be monitored by admins and folder managers, and the results can be viewed in user-based reports via the “Document Compatibility” field.
