WorkFlow 4.0.1 • The bar at the top of the screen is now yours to arrange: Settings → Header lets you choose which buttons appear, what order they sit in, and which side they're on — with Minimal, Balanced and Power presets to start from, and outline, filled or rounded icon sets • Priority now has its own section in the task editor, instead of sharing the Status heading • Better behaviour at larger text sizes: the buttons and counters along the top of the Board keep their shape instead of stretching, and task pills no longer split words across two lines • Overdue and due-today counters no longer split across two lines once you have a lot of tasks, and the board's view button keeps its full name • Fixes a problem where some task shortcuts kept working after a free trial had ended. WorkFlow 4.0 — the Notepad: write it down now, decide what it is later. • New Notepad: a place to dump a job the moment you think of it — no due date, no project, no priority to fill in first • Convert any note into a task, or into a whole project, when you're ready • Write your note as a list and each line becomes a task (or a subtask) — ticked for you automatically • Anything you don't tick stays behind as the project's notes, so nothing gets lost • Notes keep their formatting, sync across your devices, and can be pinned and coloured • A gentle review: WorkFlow counts notes you haven't touched in a fortnight and offers to help you clear them — convert, keep, archive or delete. What changed in this version Swipe a task, not the page. Swipe a card right to complete it or make it due today, left to snooze or delete it — on the Board, My Work and My Day. On by default; Settings → Layout turns it off. Dragging a card keeps to itself. The "Drop to create task" panel no longer appears while dragging a task between columns, and can't get stuck on screen. WorkFlow 3.6 Send & Share tasks by email. Every task card now has a send button (bottom-right corner). Choose Send & Share to WorkFlow to attach a .workflowtask file — recipients who have WorkFlow tap the attachment and the task (title, project, status, priority, due date, notes, tags, subtasks) is recreated on their board after a confirmation. Send Email Only sends the familiar plain-text summary. The existing include-attachments choice still applies when the task has documents. - WorkFlow is registered as the owner of the .workflowtask type, so files also open from Files, AirDrop, and other apps. - Imports link an existing project by name when one matches, reuse existing tags (creating any that are missing), log an "Imported" activity entry, and are gated for read-only (expired-trial) users before anything is written. Emoji task icons. A smiley button inside the task title field opens a curated emoji grid. The picked emoji leads the title — acting as the task's icon on every card, list, and board — and can be swapped or removed at any time. Typing an emoji at the start of the title works too. Improved Smart Suggest moved out of its dedicated row into a compact sparkles button at the trailing edge of the title field, reclaiming a full row in Task Details. It now always responds: when no signals are found in a title it says so ("No strong signals — keeping defaults.") instead of doing nothing. Header polish. The app logo now sits level with the other header controls (24pt, tighter corner radius). Fixed Photo annotation turned photos black. The annotation renderer used the device screen scale, inflating large photos into buffers that silently failed to draw — the empty result then encoded as an all-black JPEG. Rendering now happens at the image's own scale. (Photos already blackened by the old bug were overwritten on disk and can't be recovered.) Long subtask notes couldn't be scrolled. The notes editor grew without bound, leaving the caret unreachable under the keyboard. It now caps at 320pt and scrolls internally, with automatic scroll-to-caret while typing. Notes for testing The Mail composer path (Send & Share) needs a device with a Mail account — the simulator has none. Emoji render as "?" boxes on iOS 26.3 simulators (runtime bug, system-wide — Safari included). Verify emoji features on a physical device. New file Services/TaskTransferService.swift; Info.plist gained CFBundleDocumentTypes + UTExportedTypeDeclarations for TeamDZX.worflow.app.task.

Fixed: attaching a document or photo to a task in a _shared_ project crashed the app. The attachment now syncs to your collaborators correctly instead of bringing the app down. This was device-only (it never reproduced in the simulator), which is why it slipped past earlier builds.

New in this version: PDF previews. PDF attachments now render a real first-page thumbnail instead of a generic icon — in the attachment list and the Subtask Documents gallery. (Photos already showed thumbnails.) Rename a document. Press and hold any attachment → Rename to give it a friendlier name. Share / Save to Files. Press and hold any attachment → Share to send it anywhere or save it to the Files app, via the standard share sheet. Attachment badges. A paperclip-with-count appears on task cards and subtask rows so you can see at a glance how many documents are attached. In-app PDF viewer. Tap a PDF attachment to read it full-screen with page scrolling — no more dead-end thumbnail. Share or rename from its menu. Quick-attach to a subtask. Each subtask row has a paperclip button: add a photo or file straight to that subtask without opening its detail sheet. Documents gallery upgrades. The Subtask Documents gallery now has search (by file or subtask name), sort (newest / oldest / name), and a multi-select mode to delete several documents at once. Polish. Subtle haptics when you complete a subtask or attach a document.

Version: 3.5.1 - Fixes a crash when attaching a photo or document to a subtask. The subtask Documents feature introduced in 3.5 now works reliably while your data is syncing across devices.

This release opens WorkFlow up to a library of ready-made projects, adds three new ways to view your tasks, and makes long lists easier to read. Template library Browse a curated catalogue of project starters — Software Sprint, Wedding Planning, Move-In Checklist, Course Syllabus, Product Launch, New Hire Onboarding, and more to come. Tap Install on any of them and WorkFlow opens a preview sheet showing every task in the template. From there, pick a start date and create the project immediately — each task's due date is offset from your start date — or just save it to your library for later. Find the catalogue from Settings → Project Templates → Get More Templates. Everything you install appears under "Your Library" at the top of the template gallery; long-press to remove one (removing a template never touches a project you already created from it). Three new card styles • Table — a dense, spreadsheet-style row with a tap-to-complete circle, the title, and a tidy due-date column. Built to pair with the new Striped Rows. • Spacious — a large title with generous spacing and clear metadata. The most readable style at a glance. • Checkbox — leads with a big tap-to-complete checkbox for a familiar to-do feel. All three join the existing styles in the swipeable picker in Settings → Task Card Style. Striped Rows A new toggle in Settings adds Excel-style alternating row colours to your Board columns and project task lists — a simple way to keep your eye on the right row in a long list. Pick from four schemes: Subtle Gray, Cool Blue, Fresh Green, and Warm Sand, each shown with a live colour preview. Shared-project change dots When someone you share a project with adds, edits, or removes a task, a small dot now appears on the Projects tab and on that project's row, so you can see at a glance that something changed. Version 2.8 A polish-and-protect release. Six small additions that make the parts of WorkFlow you touch most often feel sharper. Three new card styles • Notepad — cream paper background, serif title, ruled-line dividers, and a pinned-pin icon. The warm analog look users have been asking for. • Gradient — a bold, priority-tinted gradient stripe across the top, with pill-shaped priority and due-date badges underneath. Vibrant and impossible to miss in a long Board column. • Badge — a status chip in priority color at the top, a large bold title, and condensed metadata beneath. Sticker-like and modern. All three live alongside the existing nine in Settings → Task Card Style. Redesigned style picker The card-style chooser is no longer a long vertical list. It's a horizontal swipeable gallery of preview tiles — tap to apply, with the selected style's name and description shown underneath. The gallery auto-scrolls to your current selection when Settings opens. One-tap subtask sort A small sort button now sits beside the "X/Y completed" progress meter in every subtask list. Tap to sort by due date, tap again to return to manual order. Drag-to-reorder hides automatically while sort is on (since reordering invisible storage order would be invisible). The button toggles the same global setting that lives in Settings → Subtasks, so both stay in sync. Project long-press fixed Long-pressing a project always activated multi-select, even when your Settings preference was "Quick Actions Menu." That's gone — long-press now honors the preference and opens the project Share sheet when multi-select isn't selected. Multi-select still works exactly as before for users who chose it. Board column snap Swiping between To Do, In Progress, and Completed now snaps decisively to each column instead of drifting. Subtle off-axis dimming during the swipe makes the snap target obvious. Full-width mode benefits most — what previously took two or three swipes now takes one. Cancel guard on the task editor If you've made changes to a task (new or existing), tapping Cancel — or swiping the sheet down — now asks before discarding. Clean edits dismiss immediately, so it stays out of your way unless something would actually be lost. Thanks as always for the feedback. Almost every change in this release came from a specific user note.

What's new in 2.7 Multi-select, finally useful. Long-press any project to bulk-select every task in it. The batch bar now applies Tags and Assignees too — not just status, date, and priority. In Settings → Layout, choose what long-press on a task card does: the quick-actions menu (default) or jump straight into multi-select. Comments fixed in shared projects. The bug where every comment showed up as "Me" on every device is gone. You see "You" for your own comments, real names for everyone else. @mention collaborators. Type "@" in a shared task's comment to pick from your share participants. Mentioned people get a notification when they pull the change. Subtask polish. Drag the handle to reorder by hand, or toggle "Sort by Due Date" in Settings. New Subtasks Focus card style puts the whole checklist on the card. Project archive. Done with a project but not ready to delete it? Long-press → Archive. Hidden by default, restorable any time. Skip Next on recurring tasks. Move just this occurrence forward without completing it.

Version 2.6 Shared projects, finally working both ways The biggest fix in this release. When you shared a project before 2.6, recipients saw the initial snapshot — but every edit after that stayed stuck on the device where it was made. 2.6 routes every shared edit through CloudKit's per-record sync on both the owner and recipient side, so changes propagate to every participant within seconds. Existing shares heal automatically on their next pull; new shares work correctly from the moment you accept. Quick Add now reads natural language The Quick Add field has learned two new tricks. Type "@name" to assign a task to someone, and type "every monday" (or "daily", "weekly", "every 2 weeks") to make it recur. Combined with the date, priority, project, and tag tokens that were already there, a full task can now fit on one line: "code review @sarah tomorrow 3pm !high #review every week". Project Templates Settings → Project Templates is a new gallery of six curated starter projects: Software Sprint (2-week engineering), Wedding Planning (12-month milestones), Move-In Checklist (pre + post move), Course Syllabus (semester), Product Launch (6-week go-to-market), and New Hire Onboarding (30 days). Pick one, set a start date, and the project is created complete with tasks, subtasks, due dates, and tags. Four new task card looks Minimal (title + accent dot — zen), Cover (leads with the first image attachment as a hero), Timeline (left rail with day/month for date-driven inboxes), and Glass (iOS 26 Liquid Glass with a priority-tinted edge). Switch any time in Settings → Task Card Style. A real iPad and Mac experience iPad gets a proper sidebar with view navigation and quick filters (Overdue, Due Today, Snoozed) showing badge counts. Mac Catalyst gets a full menubar — File, Go, and Tools menus, every keyboard shortcut routed properly — plus a Spotlight-style command palette at ⌘K that searches across tasks, projects, views, and actions. Version 2.5 Apple Reminders, finally in sync The one-shot Reminders import is replaced with a real, ongoing sync. Open Settings → Reminders, flip the toggle, choose the lists you want WorkFlow to follow, and that's it. New reminders appear here within seconds, and edits to title, notes, due date, priority, and completion state all flow through automatically. WorkFlow also re-checks every time you bring the app to the foreground, so anything you added on another device while WorkFlow was closed catches up immediately. One-way, on purpose Reminders → WorkFlow only. Your edits in WorkFlow are never pushed back to the Reminders app, and they're never overwritten by it either: the moment you change a synced task here, that task is yours. The next sync notices your edit and leaves the fields alone. Bonus: your AI assistant can now add tasks for you Because WorkFlow follows the Reminders lists you choose, anything that can write to those lists can effectively add tasks to Project Manager — including ChatGPT, Claude, and Siri. Just ask your assistant to add a reminder ("remind me to send the contract Friday at 3pm") and it shows up in WorkFlow on the next sync, complete with due date and notes. No new integration to set up — if it lands in Reminders, it lands here. Safe by default • Delete a reminder upstream and the linked task in WorkFlow stays — it's simply unlinked. Your notes, comments, attachments, and history are never lost to an upstream cleanup. • Tasks you imported with the old one-shot importer are matched up to their reminders on first sync, so you don't end up with duplicates. • Sync is fully opt-in. If the toggle is off, the feature is completely inert — no observers, no background work. Under the hood • Several small reliability improvements throughout the sync layer. • Fixes a bug where comments on shared tasks could be posted under a long iCloud ID instead of your name. Shared comments that actually stay shared A long-standing issue with comments on shared projects is fixed. Comments now use a merge-based sync model so: • Comments added while offline are preserved when you reconnect. • Two people commenting at the same time — both comments survive. • Comments no longer flicker into view and then disappear. • Collaborators see your real iCloud display name on your comments, not just "Me." Under the hood, the shared-project sync engine has been hardened against several edge cases that could cause stale snapshots to overwrite live edits. Perfect for capturing references on the go. Snoozed Tasks At A Glance Snoozed tasks no longer disappear into the void. A new moon indicator in the header shows how many tasks are sleeping; tap it to see them all with their wake times — and swipe any row to wake a task immediately. Tappable Due-Today Badge The blue clock badge at the top of the screen is now a shortcut: tap it to jump straight into a focused list of everything due today, sorted by priority.
