FBOShift — Shift Scheduling for FBO Teams WHAT IT IS FBOShift is a shift scheduling app built specifically for Fixed Base Operators — the line service, CSR, and management crews who keep private aviation moving. It replaces the whiteboard, the group text chain, and the half-updated spreadsheet. One app. Everyone on the same page. FBOShift is the sister app to FBOTrack, our fuel and service logging app for FBOs. Both apps share one account — if your FBO already uses FBOTrack, your staff list and roles carry over automatically. WHO IT'S FOR - Line service crews working around unpredictable charter traffic - CSRs and front desk staff balancing morning rushes and overnight coverage - Managers who spend Sunday night rebuilding the schedule from scratch every week - Multi-department operations running Line and CSR side-by-side WHAT IT DOES Build the schedule Drag shifts onto a Hot-Schedules-style week or month grid. Save common shifts (6a–2p, 2p–10p, overnights) as templates and drop them on a cell in one tap. A five-way repeat picker clones a shift forward for 12 weeks, the rest of the month, next month, or through year-end. Placeholder rows let you schedule a slot for a pending hire and link the person when they start. Publish when you're ready Every shift defaults to draft. Publish the whole month from one button, or week-by-week from the monthly view. Staff only see published shifts, so next month's work-in-progress never leaks. Open shifts + self-pickup Post a shift without an assignee and eligible staff claim it from their phone. Scope open shifts to any role, CSR only, or Line Service only. First-come-first-served. Time off + availability Staff request time off in the app. Managers approve or reject with optional notes. Approved off-days tint amber on the grid so no one schedules over them. Long-term availability changes go through a side-by-side review with per-day time buckets. Shift swaps Staff arrange swaps directly. Manager approval is optional or required per your setup. The review queue flags conflicts and OT risk before you sign off. On-call, overtime, call-offs Mark shifts on-call so they don't count against overtime. Weekly and daily OT thresholds flag any staffer who crosses them with a red marker. A one-tap call-off flow uses customizable reasons (Sick, Personal, No-Call-No-Show, Weather) and immediately routes the open shift to the crew. Holidays Pre-loaded U.S. holidays materialize automatically each year. Build coverage slots with required headcount. Staff sign up on their own; managers can assign anyone and overfill past the requirement. Director view One page shows CSR and Line Service side-by-side for the whole week. Filter by day, department, or shift group. Print or PDF-export for the bulletin board. PUSH NOTIFICATIONS Staff get notified when a new schedule is published, their shift is edited, an open shift they're eligible for is posted, a swap they're involved in resolves, or a time-off request is reviewed. WHY IT EXISTS FBOs run on coverage, not hours. A short-staffed overnight on a snowy Tuesday turns into a bad experience for every aircraft that lands after midnight. Spreadsheets and group texts don't keep up with last-minute trips, call-offs, or swap requests. FBOShift iOS v1.10 — What's New DRAFTS NOW SPLIT BY DEPARTMENT + NEW MASTER SCHEDULE The Drafts page has separate tabs for CSR and Line Service — managers who only handle one department don't see the other one's drafts. Each department gets a new Master Schedule: one canonical week (Mon–Sun or Sat–Sun, per your FBO setting) where you set someone's recurring weekly schedule once. Hit Apply to month, pick a target month, and the app tiles that week across every week of the month and lands it as a fresh draft. Tapping into a draft now opens the same multi-person week grid as the Schedule tab — rows per person, days across — instead of the older one-person calendar. Edit time-off / callouts on top, then publish when ready. The master itself never appears on anyone's My Shifts. PULL FROM MASTER Open a draft, hit the menu, choose Pull from Master, and pick how to handle conflicts: keep your edits, or let the master replace overlapping shifts. Useful when you've tweaked the master and want it seeded into a draft you already have open. DAY NOTES Chat-style thread per day. Tap into a day from My Shifts and post a note — "fuel N123 first thing" or "we're short Aux fuel." Manager and staff replies stack in order. Each FBO can turn it on or off in Settings. MANAGER NOTES ON EMPLOYEES Managers can attach notes to a specific person — "going on leave Aug 1," "wants more weekends" — that show as a banner in the shift editor whenever you schedule that person. Notes can auto-expire, be pinned, or archived. PUSH NOTIFICATION SETTINGS A new Settings → Push notifications screen lets each user turn individual categories on or off — day notes, time-off updates, schedule published, swap requests, and open shift posted. Toggles apply to every signed-in device. EDIT YOUR PENDING TIME-OFF REQUESTS Submitted a request and noticed wrong dates? Long-press the row in My Shifts → My time-off and tap Edit request. The form opens prefilled — change dates, PTO/unpaid mix, make-up shift, or reason, then Save. Once a manager approves or denies, the row locks. MY TIME-OFF PINNED TO THE TOP OF MY SHIFTS Time-off requests now sit right under the action buttons on My Shifts so you see pending verdicts and recent decisions the moment you open the app. Pending requests sort first. SUBMITTED CONFIRMATION Tap submit on a time-off, schedule-change, or swap request and you'll see a brief green pill at the top of My Shifts confirming it landed. TAP-TO-SEE OFF / CALLOUT REASONS Tap an OFF cell or a red callout on the schedule grid to see the full reason — date range, callout flag, manager notes — without opening the editor. "DENY" INSTEAD OF "REJECT" Manager terminology updated for consistency. The red action on time-off review now says Deny; a denied request shows as Denied on My Shifts. PERMISSIONS PAGE NO LONGER MISLABELS VIEW-ONLY USERS AS DIRECTORS The Permissions screen used to show "Director · view only" under anyone with view-both perms even when they had no edit access. It now correctly reads "View only · both departments," and anyone who can edit at least one schedule shows as Manager. BUG FIXES · Tapping Sign me up on the Holidays tab no longer fails with a security error. The signup creates the backing shift cleanly and the slot count updates immediately. COMPATIBILITY iPhone and iPad, iOS 17 and up. Same Supabase backend as FBOTrack LT — sign in with the same credentials.
