WorkStellar.ai: Work Orders
Property Maintenance for Teams
Free · Designed for iPad. Not verified for macOS.
WorkStellar.ai is the mobile operations hub for property owners and their teams. Manage work orders, track property maintenance, and keep supervisors and store managers aligned — all from your iPhone.
Built for real portfolio operations, not generic task lists. WorkStellar.ai mirrors how property teams actually run their locations: kanban lanes, role-aware views, and live sync with your operations console.
KANBAN WORK BOARD
See every work order across every lane — from new requests through completion. Filter by workspace, search by location or title, and scan KPIs at the top of your board.
REAL-TIME SYNC
Changes made in the web Operations Console appear on your phone instantly. No manual refresh, no stale status.
WORK ORDER DETAIL
Open any work order for property context, priority, status, and an activity timeline. Know what happened and what needs attention next.
MULTI-WORKSPACE
Manage multiple portfolios from one account. Switch workspaces from Profile when you oversee more than one LLC or property group.
ROLE-AWARE FOR YOUR TEAM
Designed for owners, supervisors, and store managers — the people who dispatch work, approve spend, and keep properties running.
SECURE ACCESS
Sign in with your WorkStellar.ai account. Data is scoped to your workspace with server-side access controls.
WorkStellar.ai pairs with the WorkStellar.ai Operations Console for setup, reporting, and bulk operations.

• Mark complete and Kick back now sit at the bottom of a work order, with Delete.
• Everyone in Messages shows their photo or initials, even people from your other companies.

3.9.7 4d ago
What's new in 3.9.3:
- Save work order photos: save one to your library or share it from the viewer, or save them all from Attachments.
- Paste photos: copied an image? Paste it straight into a comment.
- Permit photos open full screen like work order photos: swipe down to close, pinch to zoom.
- Bring your own AI agent: when you tag people on another company's work order, your own AI agents can join as a Guest and only see what they're tagged on.
- Comment and you're on it: commenting on a work order quietly tags you on it, so you hear about its updates.
3.9.3 5d ago
Choose when What's New shows: tick "Don't show this after updates", or use the switch in Settings > Updates. Settings > Updates > Changelog lists every release.
The board follows you: open Stellar at one of your stores and, after a minute, it shows just that store's work orders, with its equipment and New work order a tap away. Turn it off in Settings.
Compliance updates in Messages: comments on permits show under Compliance updates, with their own filter.
People from your emails: email a vendor with the work order's address in Cc and the people on that email are added. Remove anyone with one tap under "Added from email".
Also: five more role switches in Roles, Activity lines that open what they're about, PDFs inside the app, a calmer light mode that follows your phone, and easier-to-read card edges.
3.9.1 Oct 17
What's new in 3.8:
- Add people by username: type their exact @handle and pick a role, and they're in right away.
- Tag anyone on Stellar: someone outside your company joins as a Guest who sees only the work orders they're tagged on.
- Contacts in three parts: your company, people on Stellar you can add, and phone contacts to invite.
- Swipe to close: photos close with a swipe, and PDFs and forms close with a swipe down.
- Search keeps your lanes, so you can still swipe between them while you search.
- Compliance search and filters: find permits by name, number, location or authority, and see the soonest expiry first.
- Who can delete: deleting a work order is its own permission on each role, and a delete that isn't allowed now says so.
- Instant read and unread when you swipe a message.
- A tidier work record with your earned badges and the next ones up.
3.8 Oct 16
What's new in Stellar 3.7.4:
• Photos and camera fixed: attaching one photo or many, or taking one, no longer freezes the work order screen.
• Stellar on Apple Watch: see work order alerts, start a job or send it for review, and reply by voice from your wrist.
• Your work in Calendar: add scheduled work orders and permit dates to your calendar right from the Calendar view. It keeps itself up to date.
• Credit for everyone on the job: work records and badges count every person on a work order when it is completed.
• Fewer duplicate alerts: a new work order that is scheduled right away sends one notification, with the date.
• Tidier messages: only the like sits under each message. Touch and hold a message to edit or delete it.
• Your company's icon: Owners can give the workspace its own logo, and it shows everywhere the company does.
• Tag anyone on the job: Add a tag lists everyone in the work order's company, vendors and AI agents included.
• Steadier sign-in: a weak connection no longer signs you out.
3.7.4 Oct 14
• Light mode: the app follows your iPhone's light or dark setting, or pick one in Settings → Appearance.
• Messages: search people and conversations, one tap to show only unread, swipe to mark read or unread, and mute a conversation.
• Direct messages: double-tap to like, press and hold to copy.
• Reply to a work order or message right from the notification, including on Apple Watch.
• Every work order can have its own email address to cc on vendor emails.
• Map: show all, only locations, or only people.
• Join links explain which roles can't be used and why.
3.7.2 Oct 10
Locations: a location's work orders now open as their own board inside Locations, with search and filters (tagged, created by, priority, category, recurring or one-off). Back takes you to the location, and your Work Orders board stays as you left it.
3.7.1 Oct 9
New in 3.7:
- Clearer roles: every company has Owner, Administrator and Guest roles, and each role says whose work orders it sees. A person's card shows exactly what they can see, open and change.
- Bring in people from another company by tagging them, as a Guest or with your own role.
- Work record: a profile shows work orders completed, time to first response, time to complete, first-try verification and achievement badges.
- Messages: switch between Direct messages and work order Threads.
- Copy a photo or PDF from one work order onto another (long-press an attachment).
- Tap a work order's map for directions in Apple Maps or Google Maps.
- Invite someone by username and see who it is before you send.
- Edit, delete and like sit under each message; double-tap a message to like it.
- Edit or archive a location from its page, and a roomier new work order form.
- Faster and lighter on data: the app does less in the background.
3.7 Oct 9
- Group chats: see your company's group conversations, and start one from New message by picking two or more people.
- See who's online: a green dot and "Seen 3 hr ago" on Users, Contacts and profiles. Turn it off under Notifications > Privacy.
- Know when someone joins your company, with a new "People joining the company" notification setting.
- Remove someone from a workspace from their profile in Contacts, with a confirm step.
- The comment bar on a work order stays on screen while you scroll.
- Names show correctly for everyone tagged on a work order.
- Smoother iPad and landscape layouts, plus fixes and polish.
3.6.3 Oct 8
A new look that matches the web console: tap your company at the top left for the menu, with Work Orders, Messages, Contacts, Locations and More along the bottom, and a + button to create.
- Compliance board: permits in lanes by status, like the web.
- New permit form with clear fields, dates and document upload.
- Equipment: browse every unit, open a location's page, and see its history.
- Work offline: what you write without a connection is sent when you're back.
- Invitations: get notified when a company invites you, and accept from the app.
- Invite links: edit or share any invite as a link or QR code.
- Faster search, smoother loading, and clearer empty screens throughout.
3.6.2 Oct 4
• Contacts: each person shows how many workspaces you share, and opening them shows their profile, your shared workspaces and their work on WorkStellar.
• Change password now has its own screen, without the Strong Password pop-up getting in the way, and it asks for your authenticator code if your account uses two-step sign-in.
• On a work order, the comment bar slides away while you scroll down and comes back when you scroll up.
• Messages: under All workspaces, each direct message shows which company it belongs to.
• Equipment: add and view photos and PDFs on a unit.
• Smoother navigation: screens slide in with swipe-back, and Contacts loads as one list.
• Stellar AI: connect your own AI and manage AI agents in one place.
3.6.1 Oct 1
Equipment comes to iPhone. Open a location to see its units, each with its own page: specs, the work orders it's had, where it's been and what changed. Add and edit units, move one to another location with a note, archive and restore, and link a unit to a work order. Contacts now lists everyone in your workspace, and if you haven't picked a username the app suggests one from your name.
3.6 Sep 29
What's new in 3.4.3:
• Your location follows the workspace you're working in.
• Signing out only signs out this phone.
• Photos and files are never dropped silently when your connection drops: the draft stays and tells you what didn't upload.
• Clearer messages when you're offline or the service is unavailable, instead of "wrong password".
• Faster Compliance and work-order screens, and fewer background requests.
3.4.3 Sep 27
What's new in 3.4.2:
• Join links: share one link to bring your team in. Everyone who joins gets the role you chose, and you can require approval, see who joined, remove anyone, or turn the link off.
• Invite, sign-in and password-reset links now open straight in the app and finish there.
• Tagged on a work order by email? Create your account and land right on that work order.
• Security and reliability improvements.
3.4.2 Sep 26
Fixes for everything reported since 3.2:
• Joining from an invite: setting up your account no longer asks for your name and username twice, and you can no longer get stuck on "username taken". If you close the app halfway through, it picks up where you left off.
• Forgot your password? Tap "Forgot password?" on the sign-in screen, then choose a new password right in the app.
• Invite and password-reset emails keep working when your company's email security scans the links first.
• The Board tab is now called Work Orders.
• A testing option no longer appears on the sign-in screen.
3.2.1 Sep 26
What's new in 3.2:
• Tag by email: add anyone to a work order by email, or pick them from Contacts. They get the ticket by email and can create a free account.
• Permits open like work orders, with Save in the top bar, their own Tags card, and a pinned comment box.
• A new comment box pinned to the bottom of work orders and messages, so you can reply without scrolling.
• Location boards now look like Home, with lanes and Show more.
• Filter the board and map by workspace, and see all workspaces from your Profile.
• Messages filters are in one place, like on the web.
• Connect your own AI app from Profile > Connect your AI.
• The app badge stays accurate every time you open the app.
• Board cards show their lane colour, with a red edge for urgent work.
3.2 Sep 25
Stellar 2.0 — one version across the app and the web console.
• Comment on any work order while viewing All Workspaces.
• The board updates live across every company you belong to.
• Completed work now reads Completed everywhere.
• Everyone on your team appears in the @-mention picker, and every message shows who wrote it.
• The workspace switcher shows one selection at a time.
• Version number shown at the foot of Profile.
2.0 Sep 11
Fixes and refinements across the board and the thread.
• Work order cards now show what the ticket is, not the last thing said on it — the thread is one tap away.
• A ticket's photo grid no longer stops at 100 attachments; every photo on a work order is reachable.
• Thread Updates reads more clearly: the sender's name sits inline with the message, so more of each update is visible at a glance.
• Photos posted by a connected AI assistant now appear on the thread and in the photo grid like any other attachment.

What's new in 1.4
- Waiting: a work order blocked on parts, a quote, an approval or a vendor now sits in its own lane with the reason and the date it is expected, instead of looking like something somebody is actively working on.
- Your AI in Stellar: connect Gemini, Claude or ChatGPT from the Stella tab and it works in Stellar as you - it sees what you can see and posts in your name. Step-by-step instructions are in the app.
- AI agents: anyone with the permission can create a bot account for their workspace, give it a role no higher than their own, and hand it a key. It is restricted exactly like a person - tag it on a work order and that is all it sees.
- Owners choose which AI answers: Claude Sonnet, Claude Haiku or Gemini Flash.
- Faster boards: the app now loads the work that is open instead of every ticket a location ever had, and tells you when it is loading.
- Threads read better: a comment from an AI agent shows its real name, and a retired one says so.
Thanks for using Stellar - keep the feedback coming.
1.4 Sep 7
What's new in 1.3
- All Workspaces: work across every company you belong to at once - one board, one inbox, one map - or switch back to a single company any time.
- Conversations that behave like conversations: react to a message, edit your own, delete it, and get notified when someone reacts to yours.
- @mentions now use usernames, and the person you tagged is highlighted in the thread so it is obvious who was asked.
- Photos: attachments scroll inside the work order instead of running off the card, and tapping one opens a full-screen viewer you can swipe through, pinch to zoom, and double-tap.
- Inbox: two or more unread messages read as a count instead of a wall of text, and rows are labelled by first name.
- Your AI in Stellar: connect Gemini, Claude or ChatGPT and it works in Stellar as you - it sees what you can see and posts in your name.
- Users: see a member's assigned stores five at a time instead of all at once, and manage roles and permissions from your phone.
- Signing up: clearer validation, a confirm-password field, and a reveal button so you can check what you typed.
Plus a long list of fixes to reliability, layout, and notifications.
Thanks for using Stellar - keep the feedback coming.
1.3 Sep 5
What's new in 1.1
- Live map (god view): see where your team is in real time, with clear "Live" vs "Last seen" status so you always know who's active in the field.
- Drive-time ETAs: tap a teammate to see their ETA to an assigned work order, or tap any property to estimate how long it will take them to get there.
- Compliance tracking: a new board for permits, licenses, and inspections - with renewal windows, status lanes, and progress notes shown right on each card.
- Account settings: update your username, email, and password without leaving the app.
- More reliable sign-in: the app keeps you logged in instead of dropping your session.
- Faster boards: multi-column landscape layout, tap-to-filter KPI cards, and smoother scrolling and drag-and-drop.
Thanks for using Stellar - keep the feedback coming.
