Procoflow
Procurement & inventory flow
Free · Designed for iPad. Not verified for macOS.
Procoflow is a multi-tenant inventory and procurement platform that any company can set up for itself — a foundry, a textile mill, a hospital store, an auto-parts dealer, or any business that buys materials and tracks stock.
Run the full lifecycle of a material request in one place:
Request raised → Store review → Purchase order → Admin approval → Order placed → Delivery → Quality check → Goods received & stock updated → Closed.
FIVE ROLE-BASED PORTALS
• Shop Floor — raise requests for the materials you need
• Store — review requests, manage catalog, thresholds and stock movements
• Purchase — create purchase orders, manage vendors
• Quality — inspect deliveries, pass/fail with reason codes
• Admin — full visibility, approvals, and a per-capability permissions matrix
BUILT FOR ANY ORGANIZATION
Each company runs as its own tenant with its own catalog, categories, units, vendors, thresholds and branding. Nothing is hardcoded to one industry. Invite your staff, import your catalog, set your thresholds — and go.
HANDLES THE REAL WORK
Cancellations, rejection loops, quality-fail branches, partial deliveries, returns, stock issue and consumption, and new-item onboarding are all first-class — not afterthoughts. Aging and escalation surface anything stuck or overdue.
Procoflow is a business platform used by your organization's team. Accounts are provisioned by your company; there is nothing to buy inside the app.
more Machines by department
- See every machine grouped by the department it stands in, in process order, with what is down and what each department costs to keep running.
- Pick a machine's department from a search list that catches spelling slips, so one place never ends up under two names.
Auctions
- Suppliers now see each item's specification and photos before they quote.
- Buyers can edit the brief, each item's specification and its photos while bids are still sealed, and take photos straight from the camera.
Prices
- Past prices now show for repair and maintenance items in the price check and price history.
- The repair and maintenance list shows the last price paid.
Also
- Choose which units an item is on hold for, so it can still be ordered at the others.
- Removing a repair and maintenance item that is already on requests now says why it can't be removed.

Buyers can close live auctions without awarding and cancel individual item prices with a recorded reason.
Cancelled prices are excluded from lowest-price comparisons and awards.
Improved partial-quote labels and protection against changing item coverage during live bidding.
Fixed linking earlier stock entries to purchase orders.
1.2.7 Oct 18
Fixes
• Dashboard cards like “POs to approve” and the Orders tab open the right list again.
• The More menu is a simple grid again.
One Order screen
• A request and its purchase orders are now one Order screen: the items, the purchase order (document, vendor, prices) and every action in one place.
• Split orders: pick a part and work on it; each part's own buttons show at the bottom.
• Documents, bill verification, history and discussion each open from a row on the order.
Auctions
• Compare bids item by item in a grid: lowest rate in green, totals, and what each item last cost. Works while bidding is still open too.
• Extend a bid deadline: while bidding is open, after it closes but before the bids are opened, or during a live reverse auction. Bids already in are kept, and every invited vendor is told.
• Ask a vendor to correct a sealed bid. Their bid form opens again with your note; until they send it again, their bid isn't counted.
• Restart bidding after a reverse auction, with a reason. The old prices stay on the order's history.
For suppliers
• If a rate looks much lower than expected, you're asked to check it before the bid is sealed. A typo like ₹1 for ₹1,000 can no longer slip through.
• When the buyer asks you to check your price, you see their note and can send your bid again.
• Tapping a message notice opens that conversation.
1.2.6 Oct 15
Orders in one place
• Requests and purchase orders are now one Orders list. Open an order to see everything about it: items, purchase order, bidding, documents and history.
• Vendors and their tabs sit in one row, and the auction screen is laid out like the web.
For suppliers
• A new supplier app: Dashboard, Orders and Summary in a three-tab dock.
• Every card says where you stand: send your price, your place in a live auction, won, or not won with the winning price.
• Confirm an order and give your delivery date, or tell the buyer you can't supply it.
• Tell the buyer the goods are on the way: date, vehicle, LR number and quantity.
• Message the buyer's purchase team on any order.
• See your bill and payment: received, checked, approved and paid.
• Rate enquiries from the buyer appear on the Dashboard.
• Alerts when you're outbid, when bidding closes, when an order is withdrawn and when a revised order arrives.
• Summary shows your orders, on-time delivery, top items and how close you came on prices you didn't win.
For buyers
• Messages from suppliers show on the order, with an unread count.
• See when a supplier has dispatched an order, and Gate Inward marks it in transit.
• Accounts can mark a bill paid, with date, amount and reference.
• Change a request's items while its bids are still sealed; bidders are asked to update their price.
• Opening and reverse-auction prices are shown side by side, and you can see bids while bidding is open.
• Rate sheet: pick items quickly, and the headings stay in view while you scroll.
Fixes
• A back-ordered balance can be written off again.
• Documents you have already opened open again instantly.
1.2.5 Oct 13
Move stock between plants
• Send items to another plant from the Issue screen: pick the plant, who it's for, who carries it and the vehicle. Items for the same plant travel together on one trip.
• Gates let the vehicle out and count it in at the other end; the sender settles anything that didn't arrive.
Orders and bills
• Match a received order to the vendor's bill: correct the rate, GST or freight without re-sending the order.
• Add an item to a completed order, and tag machines on any order line.
• Correct the quantity on a completed order to what actually came.
• Correct a gate count that was too high even after the goods went into stock — the extra comes back out of stock in the same step.
• Sealed bids now show every vendor's rate per item, with the lowest highlighted and the last price paid.
Stock and issues
• Issue to a section, and record who collected the goods.
• Share the monthly stock-out report as a PDF.
• Date pickers no longer offer months before your data starts.
Look and feel
• Clearer error messages: a short headline saying what didn't happen, with the reason underneath.
• A smaller, neater plant switcher on the home screen.
• Profile picker fits every profile in one row.
1.2.4 Oct 12
Machine photos
• Add photos from the camera or photo library when creating or editing a machine.
• The first photo appears on the machine list and detail page. Tap the detail photo to view it full screen.
• Remove photos from the machine form while keeping bills and other documents separately.
Stock and maintenance
• For roles other than Store, find Issued inside Inventory and Repair & Maintenance.
• Return-to-vendor support for Repair & Maintenance goods.
1.2.3 Oct 1
Machines
• A new Machines register: every machine with its category, unit, status, criticality, date of acquisition and documents. Search it, filter by status or category, and see at a glance how many are down.
• Each machine's page shows its parts, the requests raised for it (breakdown or planned), its documents and linked purchase orders. Purchase and Admin can add, edit, change status and attach files.
• Add a machine by reading its purchase bill: take a photo or pick a PDF and ProcoBot fills in what it can. Everything it filled is marked, and nothing is saved until you check it and press Add.
• Repair & Maintenance requests now ask which machine each line is for, or "Not for a machine", and whether it is a breakdown or planned work — so repair spend adds up per machine.
Issuing stock
• Issue and Adjust now work the same way in Inventory and Repair & Maintenance.
• Stock is issued to a named person from the production team, not a typed name. That person is told, and can tap "Got it" or say "Not right" with what actually arrived.
• New Received and Issued screens show what went to whom and whether it arrived. The store can remind, correct a short count or keep it as issued.
• Adjust starts with "Set counted stock" — type what is on the shelf and the difference is recorded. A reason is always asked for.
• Stock can no longer go below zero; the app tells you how much is actually in store.
Bills and orders
• Each bill-check step now belongs to the person who does it, and your own steps stand out.
• Freight that is only known later can be recorded on the order at actuals.
• A bounced vendor email now shows on the order and on the vendor.
• A mistaken gate entry can be taken back.
• Approving an order now shows its grand total before you confirm.
• Order lists load faster.
Everywhere
• Confirmations and messages now use the app's own look instead of plain system pop-ups.
• Home shows which plant you are working in, with a quick switch.
• A login can now hold up to 8 profiles.
• The menu follows each person's permissions.
• Tapping a notification about an issue opens that exact issue.
• Hint text in empty fields is lighter, so an empty field no longer looks filled in.
1.2.2 Sep 24
Bill verification
• Every completed order now has its bill checked on the record: Purchase looks at the documents and ticks, the bill is marked Recorded once it is entered in your accounts, and Accounts gives the final tick. A remark can ride with each tick; the bill number, date and amount are optional.
• Either checker can flag a bill — wrong amount, missing, wrong vendor, unreadable, duplicate — and the admin decides: ask for a re-upload, reject the document, accept as-is, or keep it flagged.
• Every step can be walked back, and every step is in the order's history: undo a tick, un-verify with a reason, withdraw a flag.
• Verification appears on the order, on the request, as a Bill mark on the completed orders list, and on its own screen under More with filters for what is waiting on whom.
• Accounts is a named profile on the Purchase login, assigned by the admin, with an optional PIN so nobody can tick as that person by accident.
Item photos
• Photos now stay with an item when it is merged or moved to Repair & Maintenance — they used to vanish with the old row.
• Repair & Maintenance items can carry a photo too.
• Photos are shrunk on the phone before upload, so adding one takes seconds instead of half a minute on a slow connection.
Bidding and orders
• Splitting an award between vendors is now a clear choice: award the lowest bidder per item, or pick a vendor per item yourself, with a who-gets-what plan before you confirm. Each part of a split can be cancelled on its own.
• Bids state GST per line, and the buyer sees "GST not stated" when a vendor left it out — it is never silently taken as 0%.
• Uploads ask for the document type and, for a bill, its number, date and amount; details can be edited later.
Also
• The out-of-stock month report is always one tap away on the dashboard, even when nothing is out of stock today.
• Form errors name the field that needs fixing.
1.2.1 Sep 16
Rate enquiries
• Vendors → Enquiries: the rate sheet — every item ever quoted, cheapest vendor first, next to what you last paid — with filters for cheaper than last paid, never bought, low stock, only one quote and can't supply.
• Open any enquiry to compare replies item by item, read a vendor's whole quotation, chase a vendor, send the same enquiry to more vendors, type in a quote that came by phone, and extend or close replies. New enquiries are still sent from the web.
• When you draft an order, each line shows the vendor's quote with a one-tap "Use quote". Pricing above a quote that is still valid asks you to say why — it used to fail silently.
Orders
• The send sheet can deliver to an address that isn't one of your units, and bill to a different company than the one on the letterhead.
• The orders list adds up what you are looking at, GST and freight included.
• A cancelled order the vendor already holds can still be emailed — the cancellation template is ready to send.
Inventory
• Once a week, opening Inventory asks you to check which items skip quality inspection; new items are listed first. "QC review" in the menu opens it any time, and a Needs QC filter shows what still goes through inspection.
• Items carry a specification — grade, size, make — shown on the item, in the item picker, and on enquiries and order lines.
1.2.0 Sep 15
Plants
• The works you are on now has its own colour — on the header badge and on every request and order in your lists, so two plants never look alike again.
• Raising a request shows the plant at every step, not just when no plant is chosen. A request can no longer be raised against the wrong works without anyone noticing.
• Raised against the wrong one? You can move it, right up until the gate takes the material in. A request still being sourced simply moves and takes the new works' numbering. An order the vendor already holds keeps its number, and an admin approves the new delivery address before it goes back out as the next revision.
• Moving one back undoes the pending address change with it, instead of leaving an approval sitting there for a move that was reversed.
Repair & Maintenance
• Issuing an item is a store right now, so anyone who can issue stock can issue maintenance work. The button no longer appears and then refuses.
• An issue moves that works' own balance, so the list drops straight away instead of looking unchanged.
Orders
• Rate and GST stay correctable after the material has been counted in, and on completed orders — for when the invoice disagrees with the order. The change goes to an admin and the vendor receives the new revision.
Quality
• The inspection queue names only the lines that still need inspecting, and says how many of the order's lines those are, instead of showing the first line's name and the whole order's quantity.
• An order with nothing counted at the gate no longer passes as though the full quantity had arrived.
1.1.9 Sep 10
Split awards, finished
Choosing the winners of a split award now happens in its own screen, opened from the auction, so you can see every supplier's price for every item before you decide. Once an order is split, the request shows each part — who has it, which items, and how far along it is — and "Open order" asks which part you want when there is more than one.
Prices
• The per-item price view now shows what each item last cost, and from whom.
Everywhere
• Dates read the same on every screen: "06 Sept 2026", with the time where it matters.
• Small fixes to status labels and headings so lists and detail screens match.
1.1.8 Sep 7
More than one plant, in one app
- If your company runs more than one plant, the app now works plant by plant. Pick the plant you are looking at from the header; stock, requests and orders all follow it.
- Every request and order says which plant it belongs to, and the team activity list names the plant beside each person.
- Raised a request against the wrong plant? Move it from the request screen — a draft order moves with it, and once the supplier holds the order the app tells you it is too late.
- People who only work at one plant see none of this. Nothing changes for them.
An item screen that answers the question
- Opening an item now shows the whole story: stock at each plant, a year of consumption with the burn rate, who draws it, which suppliers you buy it from and what they charged, and the recent movements.
- Items can hold photos and documents for the first time — a picture of the material, a safety sheet, a test certificate — added from the camera, your photos or a file.
What has run out, and for how long
- The dashboard names the items that are stopping work, how many days each has been dry, and whether anything is on the way.
- Tap the count to see every item that is out of stock right now; tap the report link for a month-by-month view of what ran out and how often.
- Tap any item for the full picture: usual monthly use, how short you are, and what to do next.
Deliveries that arrive in parts
- The gate can now take a delivery that turns up later against the same order, instead of people having to correct counts or adjust stock to make it fit.
- The gate cannot pass a delivery where nothing actually arrived.
- Quality inspects what is still left rather than skipping a balance that already has a record, and receiving offers only what quality has passed.
- An order line reports what is genuinely outstanding, and says so plainly when the gate count and the order disagree.
- Stock that is already on the shelf can be booked against the order it came from.
Orders
- An ordered purchase order carries the supplier's promised date, counting down day by day, with a remark box that offers the phrases people actually type.
- Purchase can send several approved orders at once.
- An order says which unit it delivers to, and asks rather than assuming.
- Catalog items can carry an HSN code.
Inventory and Repair & Maintenance
- Categories now belong to Inventory, to Repair & Maintenance, or to both.
- An item can be moved between the two catalogs, carrying its stock and its history with it.
- Skip-QC is a visible choice on every request line.
Fixes
- Coming back from a record no longer loses your place — searches and filters stay as you left them.
- Switching plant no longer leaves the previous plant's rows on screen.
- The raised-and-closed chart draws two colours you can tell apart, and quiet days no longer disappear from it.
- Eight more profile pictures to choose from.
1.1.6 Sep 1
Follow-up on ordered POs
- Purchase can now tag any ordered PO with a chase status — Awaiting dispatch, In transit, Delayed or On hold — plus a short remark, right from the order list or the PO page.
- Everyone else sees the note wherever the PO appears, and every change lands in the PO's history with who wrote it.
Faster navigation
- Each portal's dock now carries its own work: the gate opens Gate Inward, quality opens Quality, the store opens Store Inward — no more detours through a request to reach the job.
- A dashboard queue row now opens the matching verify, inspect or receive sheet directly, with the PO document one tap away.
Fixes
- Units of measure now appear for brand-new items on orders and documents.
- The store portal no longer crashes right after signing in.
- An unexpected error now shows a retry screen instead of closing the app.
- The update prompt checks again when you return to the app, instead of only once after install.
- Lists now scroll under the floating dock instead of stopping above it.
- The team activity list shows everyone, including shop floor.
1.1.5 Aug 13
• Faster request raising: one dense item list with quick-add + search; spreadsheet import now adds instead of replacing
• Amend a PO after it's with the vendor — admin approves, Purchase re-sends Rev N
• Requests show the quantity ordered, not just asked
• PO totals include freight + GST, matching the printed PO
• PO document now opens in the app
• Dashboards match the web on every portal; vendor Auctions tab
1.1.3 Jul 30
• One date filter on every dashboard — pick All time, a specific month, or a custom range, and the whole dashboard (KPIs, charts, analytics) updates to match.

• Gate — held deliveries now sit in a clear Held at gate list on the dashboard.
• Cleaner date picker across all lists — All time, specific months, or custom.
• Refreshed floating navigation bar, plus polish and fixes.
1.1.2 Jul 25
- See the stock position right where you approve: every order line shows current stock and its Critical level, highlighted when running low.
- Activity and stock logs now show who did it by name, not just the shared account — and the "Who's working?" picker returns at shift change.
- Clearer messages when a purchase order can't be sent yet, plus visual polish across order screens.
1.1.1 Jul 23
What's new in 1.1.0
Repair & Maintenance in the app — raise R&M requests from the R&M catalog, R&M fields on request form + detail, per-line skip-QC for service lines.
Better POs — edit/add/remove PO lines, attach files from a request row, duplicate-item review; sending a PO now places the order atomically (no placed-but-unsent limbo).
Auctions — award any bid with justification (confirm-winner step gone), per-vendor per-item price breakdown, cleaner vendor Orders with grouped filters.
UI overhaul — unified search/filter/sort toolbar on every list, header "+" menu + segmented tabs, "Who's working?" profile picker, camera + photo-library on every attach.
Dashboard parity — web action wording, admin Overview KPIs, no load flash.
Fixes — purchase-role login crash fixed; stock label "Out" → "Nil"; fully-received PO never flagged "short".
