Quillaflow brings your field crew's time clock, jobs, hours, payroll, invoices and team communication together in one app. Built for cleaning, restoration, maintenance and trades businesses, and the crews who do the work. EVERYONE SEES WHAT THEY NEED • Administrator: clients, jobs and schedule, the crew and users; invites the team and decides what else each manager sees. • Manager: plans jobs and reviews time entries and expenses; the administrator decides what else they see. • Worker: today's jobs, the time clock, notes and chat. • Accountant: time entries, payroll, expenses, invoices, payments and reports, read-only. DASHBOARD Today at a glance: jobs in progress and scheduled, what is still to collect and what is overdue, and what needs your attention, such as hours to invoice or expenses to review. GPS TIME CLOCK Clock in and out with the location at that moment and the distance to the job; Quillaflow does not track you in the background. Each worker clocks in with their PIN or their personal link. If someone can't share their location, the office records the entry by hand, it is marked as manual, and every change keeps who made it and why. JOBS AND SCHEDULE Weekly board, master schedule and a view by client. Each job has the client, address, meeting point and time, crew, leader, driver, notes and photos of the finished work. Regular and emergency jobs. Share the schedule with your crew through a link. CREW AND CLIENTS Worker profiles with phone, rates and permissions; clients with their billing details and payment terms. HOURS, EXPENSES AND PAYROLL Hours by worker, client and job, with the overtime you approve. Expenses with a photo of the receipt to review and reimburse. Payroll summaries and a record of what each worker has been paid. INVOICES AND PAYMENTS Turn approved hours into invoices, email them, send reminders and record full or partial payments. See drafts, sent, overdue and collected invoices at a glance. REPORTS AND EXPORTS Reports by client, worker or job. Export to CSV, PDF and Excel. TEAM AND CLIENT CHAT Group, private and per-job conversations with photos and voice notes. In the team chat, any message can be reported and any person blocked; offensive words are hidden automatically. CLIENT PORTAL AND LINKS Your client follows the status of their job through a read-only link and can message you from their portal. QUILLA, THE AI ASSISTANT Ask about your jobs, hours or invoices, get a summary of the day or have it draft a collection email, or show it a photo. It asks for your permission before sending anything: it uses Anthropic's Claude models through Amazon Bedrock. It can make mistakes, so check what it suggests. NOTIFICATIONS In-app notifications for time entries, overtime, invoices, payments and messages. COMPANY ACCOUNTS Company accounts are set up by Quillaflow, and the administrator invites the team from the app. To look around first, tap "View the demo (no account)" on the sign-in screen. PRIVACY Your data is stored on Amazon Web Services in the United States. We don't sell it and it is not used to train AI models. You can delete your account in the app, under My profile. Free to download, no ads and no in-app purchases. English and Spanish.
