Project mail for your team

The built-in sample project archives about a thousand fictional mails, with no account and no license. You see the finished archive folder before you sign in.
Whoever joins the project, stands in for someone or wants to know tomorrow morning what happened with the engineer yesterday finds it in one place. Filum brings the team's project mail from Microsoft 365 into a shared project folder the whole team can open, without anyone else's mailbox and without extra software. Eight years from now, a third party can still read it.
Everyone archives their project mail themselves, each with their own sign-in, into the same project folder: from an Outlook folder or by rules like contact and project number, without moving anything in Outlook. Where a message fits several projects, the person decides. Filum fetches the mail through the Microsoft sign-in of the person using it, so it sees only what that person is allowed to see anyway. Where the archive lives is the office's own choice, for example its own network drive. No copy stays with us.
Two things stand in the project folder:
- Mails: one PDF/A-2u file per mail, named by date and time, so the folder sorts itself chronologically in any file manager
- Mails ansehen.html: the overview with search and filters, which opens in a browser and needs no server
In the Finder, the space bar is enough to read a single mail. Everything else lies hidden beside those two: the originals as .eml, untouched; the attachments as separate files, each stored once even when it arrived in several mails; the threads as readable HTML; a table with one line per mail for Excel; a read-me that explains how to search the archive; and a procedure document that describes how the archive comes about and how to check it.
After the first run, Filum asks once whether it should keep archiving in the background. If you say yes, Filum fetches the new mail of every project you have set up every two hours, while you are logged in to your Mac. It also looks through the headers of the inbox: that is where the senders' signatures sit, and their keys expire. A key enters the archive only together with the mail it belongs to. You can switch this off in the settings at any time.
A second run recognizes what is already there. The same mail from several mailboxes stays one mail with several locations, and Filum builds the threads itself.
When mail is added or deleted, Filum writes a record: a checksum over the entire archive, chained to the one before it, plus a timestamp from an independent service under RFC 3161. If the service cannot be reached, a later run fetches the stamp. Filum does not prevent changes to the archive, it makes them detectable: the archive carries a script that recomputes the chain with the Python standard library alone, so you can check it without us.
For each project the archive holds when the job closed and how many years it has to be kept. While proceedings are pending, a lock blocks every deletion, and who set it, when and why stays beside it. Filum never deletes on its own.
Overview, threads, read-me and table are written in German, English, French or Italian. The first run of an archive sets its language.
For the license, Filum reports checksums instead of addresses and a few numbers to bimover, never a mail. The privacy policy is linked in the app.
Made for architecture and planning offices on Microsoft 365 where several people write on the same project and whose correspondence has to outlive the liability period.
Requires macOS 14 and a mailbox on Microsoft 365 (Exchange Online); a private Outlook.com account is not enough. Archiving real mailboxes needs a license the office holds for its staff, tied to its bimover account.
Try it without an account first: the built-in sample project archives about a thousand fictional mails into a folder you pick. It runs with no network at all and therefore without the timestamp, but shows the same result otherwise.
