Fuel Usage Module Update We have added a new Fuel Usage workflow to VineTrack, allowing vineyards to record tractor fuel fills, calculate real-world fuel usage, and allocate fuel estimates to tractor work and trips. What has been added A new Fuel Log has been added to the iPhone app and Portal. Operators can now record tractor fuel fills directly from the app, including: Tractor Litres of diesel added Engine hours Date and time Operator Cost per litre or total cost Whether the tractor was filled to full Notes The Fuel Log is available from the Equipment section and has also been added to the front/home screen under Operational Tools for faster access. How fuel rate is calculated When multiple fuel fills are recorded for the same tractor, VineTrack compares the current fill against the previous fill. The calculation is: Litres per hour = litres added ÷ engine hours since previous fill For example: Previous engine hours: 1,200 Current engine hours: 1,210 Litres added: 85 85 ÷ 10 = 8.5 L/hr If both fills were marked as filled to full, the result is treated as a calculated fuel rate. If either fill was not filled to full, VineTrack marks the result as an estimate. Warnings are shown where fuel usage cannot be calculated properly, such as missing engine hours, engine hours going backwards, zero hour difference, or unusual fuel rates. Tractor default fuel rate VineTrack does not automatically overwrite the tractor’s default fuel usage rate. After a valid fuel calculation, the operator can choose to update the tractor’s default fuel rate manually. This keeps the user in control while allowing actual fuel history to improve future estimates. Trip fuel allocation Trips now support optional engine-hour readings. When starting or ending a tractor trip, operators can enter: Start engine hours End engine hours These fields are optional. Existing trip workflows still work normally if they are not entered. VineTrack estimates trip fuel usage using this logic: If valid start and end engine hours exist: Fuel used = engine hour difference × tractor L/hr rate Otherwise: Fuel used = active trip duration × tractor L/hr rate The system also uses diesel cost information from existing fuel purchase records to estimate fuel cost where available. If cost per litre is not available, VineTrack still shows estimated litres but marks the cost as unavailable. End Trip Review The End Trip Review now shows a Fuel Estimate before the operator finalises a trip. It displays: Tractor Fuel basis: Engine hours or Trip duration Engine hour difference, where available Tractor fuel rate Estimated litres used Estimated fuel cost, where available Any warnings, such as missing fuel rate or invalid engine hours This is display-only and does not block trip completion. Portal updates The Portal now includes read-only fuel log visibility and fuel allocation reporting. The Portal can show: Tractor fuel fill history Litres added Engine hours Calculated litres/hour Operator Cost per litre Total cost Filled-to-full status Notes Trip and cost reports now include estimated fuel usage and fuel cost. Fuel can be reviewed and grouped by: Tractor Trip function Block/paddock Operator Date range This includes the new tractor work types such as: Mowing Multiclean Roll Hacke Undervine Disc Undervine Knifing Important note Fuel litres and costs are currently calculated live from the latest tractor fuel rate and fuel purchase data. The system does not yet store fixed historical fuel snapshots against each trip. This keeps the system flexible, but historical reports may change if tractor fuel rates or fuel purchase costs are updated later.
