The owner app for landlords whose agency runs on IBS.
The owner app for landlords whose agency runs on IBS.
If the agency that manages your properties uses the IBS property platform, IBS Owners Gate puts your portfolio, your contracts, your rent collection and your reports in one place - without a phone call or an email chain.
WHO CAN CREATE AN ACCOUNT
Only owners already registered with an agency that uses IBS. The app does not create ownership records and it cannot sign you up as a landlord - it creates the login for a portfolio your agency already holds on file.
To create an account you need:
- A current or past owner record with an agency that uses IBS
- Access to the email address recorded on that owner record. This is the main address on your file; an alternate address will not work.
Enter that email and we send you a 6-digit code to confirm it, then you choose your own password. If the address is not on an agency's records, no code arrives and no account is created. If your properties are spread across more than one agency, a single login covers all of them.
Not sure which address your agency holds, or no code arriving? Contact your agency - they can confirm or update the email on your record.
YOUR PORTFOLIO AT A GLANCE
Properties and units, occupancy against vacancy, rent collected against rent outstanding, and your unit mix - all on one dashboard. Leasing activity charts new contracts against renewals month by month, so you can see where the year is going.
TRACK EVERY PAYMENT
Work through the full payment schedule with amounts, due dates, receipt numbers and payment method, each line marked paid, unpaid or bounced. VAT lines are flagged separately from rent, and the total always reflects everything your filter matches - not just the page on screen. Filter by property, or by a date range measured against the date that matters to you.
KEEP YOUR CONTRACTS TO HAND
Browse active, expired and ended contracts, or search by tenant, unit or contract number. Each contract shows the property, unit numbers and specification, floor, tenancy term, rent, security and how many times the tenant has renewed. Contracts under a legal case are marked as such.
REPORTS AS PDF OR SPREADSHEET
Build a rental unit list covering every unit with its tenant, rent, security and contract status, then open it as a PDF or a spreadsheet. Narrow it by property, unit, floor, unit type, availability, bedrooms, bathrooms, parking, contract status, contract term or a contract date window - as broad or as specific as you need.
MORE THAN ONE BRANCH
If your properties span several branches, switch between them in a tap and everything updates to the branch you are viewing.
KEEPING YOUR ACCOUNT SECURE
Turn on two-factor authentication with any authenticator app, with recovery codes in case you lose your device. Change your password, or reset a forgotten one, from the app.
